Loxley Colour were using several Recruitment Agencies for temporary and permanent recruitment. Temporary staff were used through a couple of different Agencies to take out peaks in their production workload which varied from 3-4 to up to 20 at any one time at peak periods. Permanent staff were hired through Agencies if they didn’t get the right response to their own adverts. The spend was around £100k per year and they had agreed terms with 4-5 different Recruitment Agencies.
Before my first meeting with their HR Manager & Finance Director I was sent a copy of the current terms and conditions that they had signed with Agencies. I went through the various clauses in those terms that shouldn’t be acceptable to an Employer and explained why they needed the clauses amending or deleting. Rather than amend several different Agency terms I suggested that Loxley Colour use terms and conditions that I have created which would cover all temporary and permanent recruitment activity going forward.
When we had agreed what the terms and conditions would look like, we arranged to meet their main supplier for temporary recruitment for a review meeting. This meeting discussed past performance, future requirements and the change in approach going forward(that they would need to sign our terms in order to continue working with us). They agreed to this and are now working with Loxley Colour on the revised terms I suggested. Following on from this I sourced a 2nd & 3rd tier supplier for them so that they had alternatives should their main supplier not be able to provide suitable candidates.
Next I presented the new system to their Managers (18 in total) so they understood what was in place and what their expectations should be. We also agreed “trigger points” in terms of quality of supply that would lead to issues that needed to be investigated further. This was based around the quality of supply rather than the standard 6 month Agency reviews and included an internal performance management system that helped Loxley Colour better manage the quality of service delivery from their Agency partners.
The new system allowed Loxley Colour to improve the quality of staff they were being provided through Agencies as well as save money and know exactly where the money was going from the temporary hourly rates they were being charged.
Performance from their main supplier dipped below the agreed KPI’s so I arranged to meet with their MD to discuss our concerns and what we expected them to put in place to continue to deliver the appropriate standard of service.
